PURPOSE OF THE POSITION:

 

To plan, organize and control all stock transactions on SAP and Abaserve systems to ensure that stock on system is similar to stock in the factory and provide administrative support to the factory departments relating to production processes to ensure accurate supply/availability of production requirements.

 

MINIMUM QUALIFICATION & EXPERIENCE REQUIREMENT:

  • Grade 12 Certificate.
  • 3-5 years’ experience in a similar position or 2 Year Diploma in Business Administration or Operations Management with 2-3 years in a similar position

 

KEY JOB OUTPUTS:

  • Process factory production orders on the system accurately and timeously.
  • Create and manage daily stock reservations within required deadlines.
  • Monitor and control production order variances through effective stock management practices.
  • Maintain accurate system control of ingredients, consumables, raw materials, and packaging materials.
  • Ensure production orders are closed and reconciled on the system daily.
  • Support the analysis and investigation of production order variances.
  • Review, clear, and investigate stock transfers, stock in transit, and stock transfer order discrepancies, implementing corrective actions where required.
  • Assist with weekly and monthly stock counts and variance resolution activities.
  • Conduct recounts and verification checks to confirm stock discrepancies.
  • Monitor stock levels and report irregularities or excessive stock losses to relevant stakeholders.
  • Coordinate stock reconciliation processes and ensure timely system updates for stock management planning.
  • Compile and provide stock replenishment information to support production requirements.
  • Maintain accurate stock records and ensure stock information on the system reflects physical inventory.
  • Ensure stock management processes and system procedures are followed before and during stock takes.
  • Monitor production stock requirements and liaise with relevant departments to prevent shortages.
  • Identify and recommend improvements to stock control processes to minimize losses and enhance efficiency.
  • Receive, verify, and maintain accurate filing of production and stock-related documentation.
  • Ensure all records are complete, authorized, and filed according to company requirements.
  • Maintain housekeeping standards within designated areas.
  • Prepare and report on stock losses, variances, and production scrap levels to support operational performance targets.
  • Ensure compliance with factory stock management procedures and internal controls.
