Purpose of the position:

 

The Office Administrator is responsible for maintaining a structured internal database for Hangana Abalone's operations, ensuring efficient filing, submission, and retrieval of all documentation related to Procurement, HR, ER, Risk, SHE, compliance, and employee communication.

 

Qualifications & Experience:

 

  • Matric certificate (Grade 12)
  • Minimum of 2-3 years of administrative experience in a similar role.
  • Previous experience of book keeping and a good understanding of accounting needs
  • Valid Driver License
  • Strong IT skills and proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Internet, data entry)
  • Knowledge of SAP is preferred
  • Valid Drivers license

 

Key Accountabilities:

 

  • Maintain organized document control (SharePoint, SOPs, employee files, procurement records)
  • Coordinate meetings, draft minutes, manage internal communications and follow-ups
  • Support procurement process: source quotes, process orders on SAP, track deliveries, and maintain supplier records
  • Manage petty cash, prepaid accounts, and provide basic finance and contract support
  • Support payroll processing and HR administration (leave tracking, sick notes, IR, wellness, onboarding, and exits)
  • Ensure timely ordering and stock control of office supplies, tools, PPE, and consumables
  • Act as first point of contact for suppliers, visitors, and contractors; ensure HSE protocols are communicated and followed
  • Provide PA and secretarial support to the GM and MD
  • Coordinate travel and accommodation bookings for employees
  • Oversee mail, courier, and document distribution
  • Liaise with Legal and ensure all SLAs (service level agreements) are up to date and maintained
  • Serve as the designated health and safety representative and help maintain a clean, safe office environment
