PURPOSE OF THE POSITION

To provide an excellent guest experience and supervise the Guest Relations function within the Lodge and control all Guest Relations activities, ensuring the operations at the front desk are running smoothly in line with O&L Leisure guest experience journey.

 

QUALIFICATIONS & EXPERIENCE:

  • Bachelor’s degree /Diploma in Hospitality Management
  • Minimum 3 years’ experience in front office/customer service or similar environment.
  • Computer literate (MS Office/Office/Excel/PowerPoint)
  • Multilingual in foreign language (German, French, Portuguese etc) will be an added advantage
  • Opera will be an added advantage
  • Product knowledge and hospitality industry experience will be an added advantage.

 

KEY ACCOUNTABILITIES:

  • Welcome customers/guest and monitor the overall experience to ensure the service offered create unforgettable, unique experience.
  • Review arrival lists and prepare compendiums prior to guests’ arrival; check into the system if necessary.                                                       
  • Ensure the team understands upselling techniques during check-in through continuous training and team engagement on product knowledge and business performance.                                                  
  • Oversee all guest-related service processes from pre-arrival to departure, ensuring the highest possible standards of satisfaction are attained.      
  • Coordinate with the reservation department to ensure all reservations are confirmed before guest arrivals.                                                      
  • Maintain knowledge of Standard Tour Operator (STO), Rack, SADC (Southern African Development Community), and Namibian rates, ensuring correct billing instructions are adhered to for each type of rate.                                
  • Liaise with reservation & finance to ensure payment is collected, posted, and processed before check-in.                                                           
  • Ensure accurate capturing of revenue on Opera and extract daily business performance information from Opera and submit reports to management.        
  • Ensure that banking procedures are carried out according to standards by guest relation agents and that they reconcile accurately.                      
  • Prepare & issue tax invoices to companies, agents, or guests without credit facilities with Leisure.                                                        
  • Verify that front office staff have completed their shift preparation tasks according to standard procedures.                                                          
  • Ensure that preventive maintenance tasks are carried out according to established standards, and keep the PM list and file updated.           
  • Maintain inventory & stock taking to ensure that the front office has sufficient supplies, such as stationery and guest amenities
