PURPOSE OF THE POSITION

 

To capture all invoices into the ARCH system accurately and process all purchase orders as per the required standards to support store operations.

 

QUALIFICATIONS & EXPERIENCE

 

  • Grade 11 New Curriculum or Grade 12 Old Curriculum
  • A minimum of 3 years’ experience in a Retail Receiving environment.

 

ADVANTAGEOUS

 

  • ARCH experience will be an advantage.

 

KEY ACCOUNTABILITIES

 

·       Carefully check, match, and capture supplier invoices using the Arch system.

·       Ensure high accuracy to prevent downstream errors in financial reporting and vendor payments.

·       Cross-check Goods Received Vouchers (GRVs) against supplier invoices to ensure goods delivered match records.

·       Manually input and verify invoice data to maintain alignment between physical stock and accounting records.

·       Actively identify and investigate price and quantity mismatches between purchase orders and invoices.

·       Engage with relevant receiving controllers to implement corrective actions, preventing incorrect payments and stock inaccuracies.

·       Address invoice-related queries from vendors and internal teams.

·       Generate and process Credit Memos for returned, damaged, or short-delivered goods, ensuring vendor accounts are accurately adjusted.

·       Match and finalize daily vendor transactions to End of Day and prepare batches for submission to the Support Office.

·       This includes ensuring all documentation is complete and reconciled manually before submission.

·       Perform a range of general admin tasks, including filing, document tracking, and updating logs.

·       Execute and verify all day-end reconciliation activities to ensure the integrity of daily data.
