To support the Guest Relations Manager in ensuring the seamless and efficient operation of the Spa, focusing on delivering exceptional guest experiences, maintaining high-quality standards, and optimizing revenue generation. Responsible for assisting with daily operational management, staff coordination, administrative tasks, and financial reporting, all while embodying the O&L Persona.
QUALIFICATIONS & EXPERIENCE:
- National Diploma in Hospitality management, Business Administration, or ITEC or CIDESCO and Somatology, Cosmetology or Aesthetics
- Minimum 3 years of experience working in a receptionist/administrator role at a spa or wellness center or in the hospitality industry.
- Experience in a 4- or 5-star hotel SPA supervisory position
- Proficiency in using computer software, including Microsoft Office Suite (Word, Excel, Outlook) or SpaGuru, Micros, and Opera PMS
- Knowledge of Jarrison system would be an added advantage
- Knowledge of spa treatments, products, and services is beneficial
KEY ACCOUNTABILITIES:
- Support the Guest Relations Manager in the execution of service experiences for spa retail and spa services (treatments) offered to guests.
- Oversee the day-to-day management and supervision of all spa employees.
- Deal with all guest enquiries, feedback, complaints, and issues and ensure that necessary follow-up/action is carried out.
- Oversee any and all inventory control functions within the Spa (stock ordering, inventory counts, etc.).
- Ensure delivered service is consistent and meets/exceeds expectations.
- Ensure that treatment scheduling meets the demands of the guests while maximizing revenue and monitoring trends.
- Prepare reports on key operating performance statistics in line with agreed procedures and implement action as discussed with the Guest Relations Manager.
- Prepare a requisition for spa equipment and supplies, ensuring its proper functioning.
- Promote and upsell the services of the SPA and maximize the potential of all sales.
- Maintain an effective stock control system, including stock rotation, inventory, placing orders to par level, and reporting costs to the Guest Relations Manager.
- Conduct daily briefings and monthly operational meetings for the entire team.
- Assist in developing and maintaining staff rosters, ensuring optimal staffing levels during peak hours to maximize guest service.
- Support the Guest Relations Manager in organizing training programs, coordinating schedules, and tracking attendance to enhance team development.
- Conduct daily hygiene walkabouts, complete the required checklists, and enforce the correct cleaning standards, health & safety standards, and operating equipment.
