Purpose of this Fleet Controller position:

The incumbent will plan, organise, lead and control all aspects of the company’s vehicle fleet in accordance with the company policy to maintain the required level of services and company image standard.

 

Qualifications and Experience:

  • Grade 12 with pass marks in English and Afrikaans
  • 5 years’ transport and basic vehicle maintenance experience.
  • Computer literate
  • Code B driver’s license

 

Preferred/Advantageous:

  • Certificate in Logistics
  • Vehicle Tracking
  • Forklift driving certificate
  • Code BE License with no restrictions
  • Public driving permit
  • Code 10 drivers license

 

 

KEY RESPONSIBILITIES:

 

Coordinate services and repairs of company vehicles and forklifts

  • Check all vehicles every morning for any scratches or bumps and action as necessary.
  • Check every morning that drivers have filled in their checklist.
  • See to it that all checklist stated problems has been sorted out.
  • Check and indicate monthly hours/km of the Forklifts and Vehicles and send it through to the Finance Director.
  • Send the vehicles and forklifts for service as indicated by supplier.
  • See to it that the cleaning of the vehicles has been done every week.
  • Report and investigate any accident including a company vehicle and see to it that the driver is disciplined if they caused the accident.
  • Investigate and follow up on any damages to forklifts and equipment and structures. Ensure that incidents are reported, recorded and actioned by relevant departments.
  • Monitor and check movements of vehicles with Cell stop and report to Finance Director, see to it that vehicles day and night have been used only for business and not private.
  • Monitor fuel usage per vehicle/forklift and through to Management.
  • Ensure that all drivers have cleaning materials available to clean vehicles (e.g. forklifts).
  • See to it that all vehicles are registered and the drivers have the correct licenses and permits
  • Take over the driver responsibilities as needed/ required.
  • Co-ordinate any planned maintenance programme with a supplier.
  • Check with suppliers that vehicles are repaired in due time.
  • Hire forklifts or trucks when needed for production.
  • Verify the driving licenses of drivers every six months.
  • Explain company policy regarding  the use of company cars to new drivers and every six months to all drivers.
  • See to it that all drivers and forklift drivers have their regular training  in conjunction with HR.
  • See to it that all vehicles are parked in a safe secure parking area (e.g. garage after shifts).
  • Check that full accident procedures and documentation are available in all company vehicles, and that drivers are familiar with them.
  • Randomly accompany drivers on local trips, to check trip control and driving conduct / performance.

 

Logistics & Project Support

  • Plan, coordinate, and execute all logistical arrangements for company projects, ensuring seamless transportation of materials, equipment, and personnel.
  • Work closely with Project Managers and procurement teams to align fleet availability with project schedules.
  • Source and coordinate additional transportation solutions (e.g., hiring trucks, cranes, or specialised transport) as required for projects.
  • Manage loading, unloading, and movement of project materials, ensuring proper handling and storage.
  • Ensure all project-related logistics comply with safety regulations, legal transport requirements, and company policies.
  • Monitor vehicle and equipment availability to avoid delays in project execution.
  • Liaise with external logistics providers to ensure timely and cost-effective delivery of project-related goods.
  • Track and report on all transportation-related costs associated with projects, identifying potential cost-saving measures.
  • Implement contingency plans for unexpected logistical challenges (e.g., vehicle breakdowns, route changes, or delays).

 

Safety

  • Ensure drivers adhere to company vehicle policies, road regulations, and safety protocols.
  • Conduct spot checks on drivers’ compliance with speed limits, trip control, and vehicle handling.
  • Verify that all drivers possess valid licenses and permits required for their assigned duties.
  • Ensure accident procedures and documentation are up to date and accessible in all company vehicles.
  • Assist in investigating safety incidents involving company vehicles and implement corrective measures.

 

General office administration

  • Check logbook every morning.
  • Keep accurate and complete records of all correspondence and documentation related to accident claims, vehicle fleet etc.
  • Control and update fleet list, circulate changes of fleet to various departments.
  • Ensure that documents, records and all other information is handled confidentially as per the company confidential  agreement/policy.

 

Personnel function

  • Check that subordinates are motivated, trained and utilised to their maximum potential.
  • Administrate subordinate’s remuneration by controlling monitoring time & attendance, overtime and leave.
  • Arrange for protective clothing when required.
  • Supervise subordinates.
  • Maintain discipline in accordance with the Disciplinary Policy.
  • Check that each subordinate’s performance is up to standard and provide leadership, directing and training to subordinates where and when needed.

 

Ad hoc duties

  • Keep confidential documents and trade secrets of the Company secure.
  • Relieve and assist in all required areas during periods of absence or crisis.
  • Attend to any reasonable request made by SLT and GLT.
  • Report, and where possible handle, cases of accident, fire, theft, loss, damage, or contravention of regulations.
  • Attend meetings, training courses, workshops or seminars as required.
  • Adhere to Company policies and procedures and maintain Company standards.

80% office based, ad-hoc travelling.
