Purpose of this Junior Project Manager position:

To assist in planning, executing, monitoring, and closing projects by supporting the Project Manager/General Manager and Client’s project teams in meeting deliverables. The Junior Project Manager ensures that projects align with specified client requirements, ISO 9001:2015 standards, and organisational goals for efficiency, quality, safety, and profitability, while fostering collaboration with internal and external stakeholders, including clients in the mining and/or industrial sector.

 

Qualifications and Experience:

  • Diploma or Bachelor’s degree in Project Management, Engineering, or Construction Management, or equivalent
  • 4-6 years' experience supporting project planning, coordination and administration in the industrial and/or mining sector
  • Knowledge of ISO 9001:2015, safety protocols, and local industry regulations
  • Computer literacy with proficiency in MS Office, MS Project, or similar project management software
  • Knowledge of the Namibian Labour Act and SHEQ principles 

 

Preferred/Advantageous:

  • Certificate in Scaffold Erection and Inspection
  • Certificate in NACE Coating Inspection 

 

 

KEY RESPONSIBILITIES:

 

Project Planning and Execution

  • Develop and implement detailed project plans, including scope, timelines, and resource allocation, ensuring alignment with client requirements.
  • Assist in monitoring project milestones, budgets, and progress to ensure on-time and on-budget delivery.
  • Support feasibility studies and define project objectives in collaboration with stakeholders.
  • Assist in preparing and managing project budgets, ensuring efficient resource allocation and cost control.
  • Ensure timely acquisition and delivery of required materials and resources in collaboration with relevant support functions.
  • Regularly track and report on project KPIs such as cost efficiency, on-time delivery, and safety compliance; identifying and mitigating risks proactively, and maintain progress and post-project evaluation reports.
  • Prepare and analyse monthly rolling forecasts for financial planning.
  • Collaborate with procurement teams to optimise material costs and delivery timelines.
  • Track project expenditures and prepare variance reports for senior management.
  • Support supervisors and project teams in understanding project deliverables and scope requirements.
  • Create and monitor project schedules using management tools, adjusting dynamically to address unforeseen challenges.
  • Coordination with subcontractors for outsourced tasks to ensure alignment with project schedules and quality standards.
  • Provide administrative support, maintaining project documentation, ensuring reports, meeting minutes, and compliance records are accurately maintained.
  • Use project management software to track progress and generate status reports for management and clients.

 

Quality and Compliance Management

  • Ensure compliance with ISO 9001:2015 standards, quality protocols, and client specifications/contractual obligations throughout the project lifecycle and liaise with Project/General Manager about any deviations.
  • Regularly conduct site inspections to maintain safety, quality and proactively report any deviations to the Project/General Manager
  • Maintain audit readiness by ensuring accurate documentation of training records, quality certifications, and findings.
  • Collaborate with the client’s quality teams to address project-specific requirements and implement corrective actions when necessary.
  • Oversight of warranty claims to ensure they are prevented through high-quality workmanship and proper materials usage.

 

Risk and Safety Management

  • Collaborate in conducting risk assessments and implemeningt mitigation strategies to minimise disruptions and ensure compliance with health, safety, and environmental standards.
  • Monitor PPE compliance and ensure adherence to all safety protocols.
  • Collaboratively maintain and update emergency response plans, conducting periodic safety drills.
  • Track and report key safety metrics, ensuring prompt corrective actions.
  • Lead safety briefings and address safety concerns promptly in collaboration with the Client's/Site's HSE teams.

 

Stakeholder and Client Engagement

  • Assist Project/General Manager in professionally liaising with clients and project teams to clarify requirements, align objectives, and ensure project goals are met.
  • Act as a secondary point of contact, assisting in progress updates, reporting, and issue resolution.
  • Participate in cross-functional meetings to align project objectives with broader company goals.
  • Act as the primary communication link between the client and internal teams, providing regular updates on progress and challenges.
  • Utilise Client Relations Management tools to streamline client engagement and stakeholder communication.
  • Build and maintain relationships with vendors and subcontractors to support operational success and efficiency.
  • Assist in organising project review meetings with clients, contractors, and regulatory bodies.

 

Leadership and Team Development

  • Provide project coordination support and assist with task delegation under the guidance of the Project Manager.
  • Supervise and support team/s during project execution for ensuring clear delegation of responsibilities and fostering collaboration and knowledge sharing.
  • Identify training needs and provide mentorship to develop technical and managerial skills within the team.
  • Assist in identifying training needs and support mentorship initiatives within the team.
  • Lead performance tracking, setting goals, and providing constructive feedback under the guidance and supervision of the Project Manager.
  • Collaboratively drive employee engagement initiatives among projcet team/s, reinforcing the team environment.

 

General and Ad hoc Duties

  • Ensure alignment with organisational values, policies, and procedures, including adherence to O&L Persona standards.
  • Keep confidential documents and trade secrets of the Company secure.
  • Provide assistance during audits and resolve any non-conformances identified.
  • Support audit preparations and resolution of non-conformances.
  • Relieve and assist in all areas during periods of absence or crisis.
  • Attend to any reasonable request made by SLT and GLT.
  • Report, and where possible handle, cases of accident, fire, theft, loss, damage, or contravention of regulations.
  • Attend meetings, training courses, workshops or seminars as required.
  • Adhere to Company policies and procedures and maintain Company standards.
  • Perform overtime work when requested.
