PURPOSE OF THE POSITION:
To assist with the administration of all dispatched stock/orders in the dispatch area by ensuring that the correct orders are loaded and dispatched out of the factory.
MINIMUM QUALIFICATION & EXPERIENCE REQUIREMENT:
- Grade 12 certificate, minimum 1- 2 years’ experience in distribution environment
- Basic skills required to do manual work
- Knowledge of FIFO and cold chain management
- Knowledge of food industry
KEY JOB OUTPUTS:
- Complete and submit requisition forms based on consolidated orders, verify order quantities, and ensure all invoices and cash are submitted to finance.
- Receive invoices from the Team Leader Dispatch or Invoicing Clerk, verify truck cleanliness and pre-cooling before loading, and report any deviations to the Supervisor or Team Leader.
- Assist the Supervisor with verifying physical stock against invoices alongside the Security Guard, remove designated orders from the cooler, and help load trucks.
- Ensure truck doors are sealed, seal numbers recorded on invoices, and all relevant parties sign off (Supervisor/Team Leader Dispatch, Driver, Security Guard, and Assistant Admin).
- Collect Proof of Delivery (POD) documents from drivers, confirm that all necessary supporting documents are attached—including Purchase Order, Signed Invoice, GRN/GRV Number, and Claim Document—and perform completeness checks against the Daily Trip Sheet.
- Update SAP with received PODs and record GRV/GRN numbers accurately.
- Maintain cleanliness in the dispatch area through regular cleaning and adherence to the “clean as you go” principle.
- Report cooler faults immediately, assist with stock movement and counting during stocktaking, and support other duties as requested by Management.
- Follow company quality, food safety, and hygiene regulations, report faults or quality issues promptly, and maintain compliance with Good Manufacturing and Health & Safety Practices.
- Wear full PPE before starting work, wash and sanitize hands and boots before entering the factory, and adhere to cold chain procedures.
- Clean and sanitize all machines, equipment, and work areas according to food safety requirements, ensure all machinery and utilities are properly shut down, and leave all operational areas clean and hygienic at the end of each shift.
