PURPOSE

To provide efficient administrative, payroll, and employee administration support to the store by maintaining accurate records, processing documentation, supporting HR administration, monitoring attendance records, and ensuring compliance with company policies and procedures to facilitate smooth store operations.

QUALIFICATIONS & EXPERIENCE

  • Grade 12 / Matric / NQF Level 4
  • Minimum 2 years retail experience, of which at least 1 year should be in an administrative environment
  • Certificate in Business Administration, Office Administration, Human Resources, or a related field
  • Strong administrative, organizational and record-keeping skills

ADVANTAGEOUS

  • Experience working with Arch and Jarrison systems
  • Payroll administration experience
  • Computer literacy (MS Office)
  • Experience in employee administration and record management
  • Strong numerical ability and attention to detail

KEY RESPONSIBILITIES

Human Resources & Employee Administration

  • Maintain employee records and files accurately
  • Capture leave, overtime, and attendance records on the relevant systems
  • Assist with employee onboarding and termination administration
  • Prepare employment contracts and administrative documentation
  • Support payroll administration processes
  • Coordinate uniform and name tag requirements

Store & Financial Administration

  • Capture purchase orders accurately on the Arch system
  • Verify purchase orders against invoices and supporting documentation
  • Forward supplier invoices to Head Office within required timelines
  • Resolve supplier and purchase order queries
  • Manage stationery and office supply requirements
  • Assist with stock take administration and preparation

Reporting & Record Management

  • Prepare and maintain administrative reports
  • File and maintain employee, supplier, and store documentation
  • Ensure accurate and secure record management
  • Assist with audit preparation and compliance requirements

Compliance & Operational Support

  • Maintain confidentiality of employee and company information
  • Ensure compliance with company policies and procedures
  • Assist during peak trading periods and operational requirements
  • Attend training sessions, meetings, and stocktakes as required
