PURPOSE OF POSITION
To successfully coordinate & manage all internal and external events in compliance to O&L Standards, ensuring exceptional customer experiences of O&L products and services.
 


QUALIFICATIONS & EXPERIENCE
•    Three (3) year bachelor’s degree required, in communications, hospitality, marketing, sales or event management with a minimum of 3-5 years’ experience in Event and Conference management; in a large corporate company.
•    Must have worked in the industry internationally for at least 2 years.
•    Advertising agency experience would be an added advantage.
•    Valid Code B Drivers Licence.
•    Must be proficient in Microsoft Office.
•    Must be proficient in financials aspects such as stock control, budgeting, quoting & invoicing, etc.
•    Must be mobile and willing to travel extensively.
 
 


KEY ACCOUNTABILITIES
•    Coordinate and implement the O&L Events strategy for all internal and external O&L facilitated events and 
conferences, aligned to the O&L Brand Strategy and standards.
•    Responsible to train all relevant staff or stakeholders on the expected process and standards when executing events and conferencing activities.
•    Maintain O&L standards and ensure that policies and procedures are adhered to.
•    Ensure adherence to all legislative, health and safety requirements at all events.
•    Responsible to assist with the development of an annual events plan/calendar for all O&L Events.
•    Research new trends and exciting offerings to continuously improve event experiences.
•    Plan and develop programs, agendas, budgets, and services according to customer requirements.
•    Consult with customers to determine objectives and requirements for events such as meetings, conferences, and conventions.
•    Responsible for the planning and logistics of company meetings, special events and conferences.
•    Responsible for the coordination and execution including project management of O&L facilitated events and conferences to ensure compliance to O&L standards.
•    Liaises with relevant stakeholders to ensure that all pre- and post-function activities are communicated and executed in an effective an efficient manner to ensure event success and future improvements.
•    Ensure that standards are always maintained in banqueting venues and outlets in relation to service delivery and hygiene requirements.
•    Ensure that O&L brand-to-customer/consumer experience is established and maintained by O&L stakeholders throughout the entire event/conference journey.
•    Responsible for all administration related to client service, client contracting, enquiring for quotes & invoices, venue bookings, supplier liaison & management, dissemination of promotional materials & stationary, and responses to general inquiries.
•    Responsible to control event costs in line with the approved budget.
•    Responsible for stock maintenance, control & purchases. Controls movement of stock and supervises the clerical aspects of the warehouse documentation function.
•    Oversee and lead the Events Coordination team by setting clear performance standards to team members and ensure compliance thereof.
