Purpose of the Position
The purpose of the position to make sure that receving and maintance of invoices, claims, PODS are kept in order for smooth processing of payment to suppliers and accurate record keeping.
Minimum Qualifications & Experience
- Grade 12
- Minimum 12 months administrative experience.
Advantageous
- Administration experience in a creditors department.
- Diploma in Business Administration.
Key Responsibilities
- File invoices, supplier statements, claims, and PODs accurately.
- Maintain organised filing systems (numerical, alphabetical, date based).
- Retrieve documents quickly for reconciliations or audits.
- Match invoices with supporting documents (POD, claim).
- Create and maintain folders; archive documents as required.
- Print and extract PODs/claims from ARCH when needed.
- Follow up with stores on outstanding invoices.
- Support auditors by providing required documents.
- Uphold confidentiality and adhere to company standards.
