Purpose of the Position
As the custodian of the O&L Group Process Model, the Specialist: Process Analysis is responsible for driving the effective governance, maintenance, and continuous improvement of the Group's process framework. The role ensures the timely review and optimisation of Group Policies, Procedures, Work Instructions, Templates, and related governing documents by partnering with business stakeholders across the organisation. Through ongoing analysis of business processes and workflows, the incumbent identifies gaps, improvement opportunities, and process efficiencies that enhance operational effectiveness, strengthen governance, mitigate risk, and support the Group's ability to remain competitive in its diverse operating environments.
Qualifications and Experience
- Bachelor’s degree in industrial engineering, Business Process Management, Operations Management, Information Systems, Business Analysis, Business Management, or a related field.
- 3–5 years' relevant experience in process analysis, business process improvement, process governance, operational excellence, or a similar discipline.
- Advanced understanding of business functions, operating models, workflows, and organisational processes.
- Demonstrated experience in business process mapping, process modelling, process optimisation, and process re-engineering.
- Experience in developing, reviewing, and maintaining policies, procedures, standards, work instructions, forms, templates, and other governing documentation.
- Knowledge of business process management principles and continuous improvement methodologies.
- Knowledge of process automation, workflow management systems, and information systems.
- Experience facilitating workshops and engaging with stakeholders across all organisational levels.
- A valid Code B/BE driver's licence and own transport.
Preferred / Advantageous
- Lean Six Sigma Green Belt or Black Belt certification.
- Experience with ISO Management System Standards and governance frameworks.
- Experience leading organisation-wide process improvement initiatives.
- Experience working with SharePoint-based document management and process repositories.
Key Accountabilities
Process Governance and Continuous Improvement
- Develop, implement, and manage a cyclical review plan to ensure governing documents on the Process Model remain relevant, compliant, and aligned to business requirements.
- Monitor and report on progress against review cycle targets and governance requirements.
- Review and analyse business processes, workflows, policies, procedures, standards, and supporting documentation to identify improvement opportunities.
- Identify process gaps, inefficiencies, duplication, risks, and compliance concerns, and recommend corrective actions.
- Drive continuous improvement initiatives aimed at enhancing operational effectiveness, efficiency, and governance.
Process Analysis and Business Support
- Partner with Process Owners and Process Champions to identify, analyse, document, and improve core business processes.
- Facilitate workshops and stakeholder engagements to review and optimise business processes and governing documentation.
- Provide guidance and professional advice on process design, documentation standards, governance requirements, and best practices.
- Support business units in documenting new processes and implementing revised process requirements.
Process Model Management
- Maintain the integrity, structure, and quality standards of the Group Process Model.
- Ensure all governing documents are accurately stored, controlled, reviewed, and archived in accordance with document management requirements.
- Manage version control and document lifecycle processes within the Process Model repository on SharePoint Online.
- Ensure consistency, standardisation, and accessibility of governing documentation across the Group.
Training and Awareness
- Develop and implement awareness and training initiatives to promote understanding and compliance with governing documents.
- Facilitate training sessions and workshops on process governance, process management standards, and process documentation requirements.
- Communicate updates relating to revised or newly approved policies, procedures, and other governing documents.
Reporting and Compliance
- Track and monitor compliance with document review cycles and process governance requirements.
- Prepare reports and dashboards on process review progress, process improvements, governance compliance, and key process risks.
- Escalate process-related risks and non-compliance matters where necessary.
