PURPOSE OF THE POSITION

 

Design, develop, and maintain adequate and effective business process governing documents (policies, frameworks, standards procedures, work instructions, forms, templates) and controls throughout the Hartlief Group to optimize business performance and drive efficiencies.

 

QUALIFICATIONS AND EXPERIENCE

 

  • Bachelor's degree in business management, internal auditing or similar.
  • 5 years’ relevant process analysis experience, business process mapping and re-engineering in a senior supervisory position.
  • Advanced understanding of business functions, workflows, and processes.
  • Experienced in a manufacturing environment.
  • Knowledge of process automation and information systems.
  • Knowledge of ISO Management System Standards, Quality and Food Safety Management Systems, standards and Legislation including HACCP, FSA and FSSC 22000 will be an added advantage.
  • Six Sigma certification will be an added advantage.
  • A valid code B/BE driver’s license.

 

KEY JOB OUTPUTS

 

Development & Maintenance of Governing Documents

    • Develop, enhance and maintain all business process governing documents, ensuring they are accurate, efficient, effective and aligned to business needs.
    • Maintain and update the Process Model Master List, tracking all governing documents and ensuring timely creation and revision.
    • Collaborate with process owners and champions to analyse workflows, identify improvement opportunities and develop/update policies, frameworks, procedures, work instructions, templates and forms.
    • Facilitate workshops with process owners to review governing documents on a cyclical basis and drive continuous improvement.
    • Evaluate existing documentation to identify gaps, risks and inefficiencies, and recommend improvements.
    • Ensure all governing documents comply with regulatory requirements, industry standards, internal policies and safety regulations.
    • Uphold document quality standards and maintain consistency in structure, formatting and version control.

 

Governance, Compliance & Process Model Oversight

    • Drive adherence to Group Process Model governing documentation, including relevant policies and procedures.
    • Develop, implement and maintain a Cyclical Review Plan to ensure documents remain current, relevant and compliant.
    • Monitor, track and report progress on all governing documents and the Process Model Repository against deadlines and review cycles.

 

Process Model Maintenance & Document Control

    • Manage the Process Model repository, including version control, document updates, archival of older versions and change control records.
    • Control access and permissions as the Process Model Site Owner, ensuring data integrity and security.
    • Communicate updates to the business when new or revised documents are published, using various employee engagement channels.

 

Training, Implementation & Compliance Monitoring

    • Develop and implement a Training Plan to ensure process owners and champions train employees on updated Process Model documentation.
    • Track and report on training completion and maintain secure records of attendance.
    • Conduct implementation checks on new or revised documents to confirm adoption, compliance and effective integration into business operations.
    • Assist in obtaining and safekeeping of licenses, permits, and certificates.
