PURPOSE OF THE POSITION:
To perform and carry out all administrative duties within the Procurement department and to provide support to Procurement team. To ensure the required monthly reports are submitted.
MINIMUM QUALIFICATION & EXPERIENCE REQUIREMENT:
- A Diploma in Administration/ Business Management
- Minimum of 2-3 years administrative experience
- FMCG experience is an added advantage
KEY JOB OUTPUTS:
- Create Purchase Requisitions (PR) accurately and on time
- Forward approved Purchase Orders (PO) to relevant suppliers
- Receive and process Purchase Orders on the system (MIGO)
- Support the Procurement team with invoice control and verification
- Submit invoices to the Finance department promptly
- Assist with the accurate completion and timely submission of overtime and standby sheets
- Maintain an organized and up-to-date filing system for all departmental documents
- Handle all telephonic and general administrative duties within the department
- Provide ad hoc administrative support as required
- Request, receive, and process quotes and pro-forma invoices efficiently
- Compile and submit weekly and monthly reports on expenses and ZOTIF
- Assist in compiling decision papers for management review
